Guest Arrival Checklist: What to Confirm Before Check-In

After a stay is booked, confirm the arrival window, access notes, who is arriving, and the house rules before you travel.

A guest arrival checklist vacation rental guests should finish before they travel is short. Confirm the arrival window on the booking, how you will reach the entrance, who is actually coming, and the house rules you already accepted. Do this after the stay is booked. It is not a second search for a property.

Booking-stage questions belong in the holiday-rental checklist. This later pass uses the property page and the latest message. Ask only for what those records still leave unclear, and treat an older screenshot as out of date.

Open the booking and the property page together. Write four lines: the date you will arrive, the time window you are using, the entrance you expect to use, and the names of the people in the booking. If any line is a guess, that line is the question to ask.

  • Read the arrival window on the current property page, then check that your plan sits inside it.
  • Note the address or area the listing shows, and separate that from any private entry instruction.
  • Match every person who will stay overnight to the guest count on the booking.
  • Reread the house rules that apply to arrival, noise, smoking, and extra visitors.
  • Save the latest message. If two messages disagree, follow the later one only after you understand which detail changed.

Keep the list on one page. A long pack of screenshots is harder to use on the way than five lines you can check again. If the stay is not confirmed yet, compare current offers in the published stay directory before you treat any arrival plan as settled.

Turn the listed times into a check in checklist

A property page may show a check-in window and a checkout time for that listing. Those times belong to the offer you booked. They are not a promise that every home uses the same hours. Copy the window from the page you booked, then compare it with the hour you expect to reach the entrance.

If your plan falls outside that window, ask before you travel. Silence is not an agreement to arrive later or earlier. Say the time you expect, ask whether that time works, and wait for a clear reply. A late flight, a long drive, or a change of day is a new fact. Send it as soon as you know it, and do not assume the original window still fits.

Checkout belongs on the same list. Know the time you must leave. The cancellation policy covers a change of dates. It does not replace the arrival window on this booking.

Separate the public address from the way in

A vacation rental arrival is settled when the entrance, the unit, and the arrival window match the booking. Start with what the listing already shows: the area, the map, and any note about stairs, a lift, or parking. Then ask for the missing piece that would stop you at the door. That might be which entrance to use, how to identify the unit, or where to leave a car if the page does not say.

Keep private entry details in the message for the confirmed guest. A code, a lockbox location, or a door instruction does not belong in a public page or in a message sent to someone who is not on the booking. If you have not received the private note you need, ask in the booking thread. Do not invent a way in from a photo of the building.

The guest-communication guide describes what a host may send. As a guest, you need the current version for this stay: the entrance, the unit, and the time. If a new message replaces an older one, use the new message.

Name the people and the bags before the day

Write the name of each person who will stay overnight and compare that list with the guest count on the booking. Children count. A friend who will sleep there counts. Someone who will only drop you off does not, unless the house rules limit visitors as well. If the group has grown since you booked, say so before arrival and ask whether the booking can include them. Do not arrive with an extra overnight guest and treat the listing's capacity as optional.

The booked group

Consider it for: People named on the booking who will sleep in the home, within the guest count the listing allows.

Verify: A change of names or numbers needs a reply before you travel. The original confirmation does not add people by itself.

A short visit

Consider it for: Someone who arrives with you and leaves the same day, when the house rules allow visitors.

Verify: A visit is not an extra bed. Read the rule on visitors before you invite anyone to stay, even for an hour.

Luggage is the same kind of check. If the listing does not describe stairs, a lift, or the entrance, ask before you travel with bags that need a specific route. A photo of a hallway is not a measurement.

Ask guest check in questions in one thread

Put each question next to the booking. Ask about the time, the entrance, or an extra guest, and number them if you send them together. Follow the latest reply in that thread, and check which question it answers.

Stop if the reply contradicts the listing. A message that names a different unit, a different guest count, or a payment request you do not recognise is a reason to pause. Use the listing red-flag guide for contradictions and unexpected payment requests. For a booking problem you cannot resolve in the thread, use the help centre. Do not send a code, a copy of an identity document, or a payment to an address that is not part of the booking.

The guide to booking a stay explains the path from a listing to a confirmed request. This checklist starts after that path. It does not replace the price, the dates, or the terms shown before you confirm.

Repeat the list in the hour before you leave

Short stay arrival planning is that last pass, not a new review of the whole listing. Check the time you will arrive, the entrance note you will follow, the people travelling with you, and the bag you are taking. If any of those has changed, send the change before you leave.

  • Confirm the arrival window still matches the hour you will reach the entrance.
  • Open the latest message and ignore any earlier entrance note it replaced.
  • Count the overnight guests against the booking one more time.
  • Keep the property address separate from any private entry detail.
  • Know the checkout time so the arrival plan has an end as well as a start.

Practical answers

Frequently asked questions

What if we will arrive outside the window on the listing?

Tell the host the time you expect and ask whether that time works before you travel. A listing window is the offer you booked, not a guess you can ignore. Do not treat a missing reply as permission to arrive earlier or later.

Should the public listing include the door code?

No. Use the public page for the address, map, and arrival window it already shows. Ask for private entrance instructions in the booking thread, and keep them with the confirmed guest rather than forwarding them widely.

What if a message disagrees with the property page?

Pause. A different unit, guest count, or payment request is a contradiction to resolve before you travel. Follow the later message only when you can see which detail it replaced, and use help if the thread does not make that clear.

What should we check on the morning we travel?

Check the arrival time, the latest entrance note, the people who will stay overnight, and the checkout time. Send a correction if any of those has changed. Leave the rest of the listing alone unless a new question would change whether you can get in.
